How we handle personal information.

Our commitment under the Protection of Personal Information Act — what we collect, why, how long we keep it, and the rights you can exercise.

1. Who We Are

Lotus Milagro (Pty) Ltd is the responsible party for personal information processed through this website and through our commercial engagements. We are registered in South Africa and operate from Pretoria, Gauteng and Nelspruit, Mpumalanga.

This notice explains how we process personal information in terms of the Protection of Personal Information Act, 2013 (POPIA).

2. Personal Information We Collect

Contact and enquiry details: name, organisation, role, email address, telephone number and the content of your message.

Requirement information: scope descriptions, locations, timelines, indicative values, capability required and any documents you choose to attach.

Supplier information: company details, registration and compliance documentation, categories of supply and banking-neutral verification data submitted through the supplier application form.

Career applications: the information contained in your application and curriculum vitae.

Technical information: limited log data such as browser type and pages visited, and cookie data where you have permitted it.

3. Purpose of Processing

To respond to enquiries, prepare quotations and manage the commercial relationship.

To evaluate supplier applications and maintain an approved supplier database.

To assess job applications and manage recruitment.

To meet legal, tender, tax and regulatory obligations.

To improve the website and our service delivery, where you have consented to analytics.

We do not sell personal information, and we do not use enquiry information for unrelated marketing without consent.

4. Lawful Basis

We process personal information where it is necessary to conclude or perform a contract, to comply with a legal obligation, to pursue a legitimate business interest in a balanced way, or where you have given consent. Consent can be withdrawn at any time.

5. Storage and Retention

Website submissions are stored as structured records in our managed cloud database rather than only as email. Records are retained for as long as required for the purpose collected, and thereafter for the periods required by law, tender and audit obligations.

Unsuccessful career applications are retained for a limited period unless you ask us to remove them sooner.

6. Security Safeguards

Access to submitted records is restricted to authorised personnel. Data is transmitted over encrypted connections, database access is governed by row-level security rules, and administrative credentials are not exposed to the public website.

We review access rights periodically and require our processors to maintain appropriate safeguards.

7. Third Parties and Operators

We use reputable service providers for cloud hosting, database services, email delivery and, where enabled, translation and analytics. These operators process personal information on our instruction and under confidentiality obligations.

Where a service provider processes information outside South Africa, we require a comparable level of protection as contemplated in section 72 of POPIA.

8. Cookies

Necessary cookies are required for the site to operate. Functional, analytics and marketing cookies are only used where you have allowed them, and your preference is stored on your device.

9. Your Rights as a Data Subject

You have the right to be told what personal information we hold, to request correction or deletion, to object to processing, to withdraw consent, and to lodge a complaint with the Information Regulator.

Requests can be made in writing and will be handled within a reasonable period. We may need to verify your identity before acting on a request.

12. PAIA Manual

The Promotion of Access to Information Act, 2000 (PAIA) gives you the right to request access to certain records held by us.

Our PAIA manual is being finalised. Until it is published on this website, a copy may be requested from the Information Officer at info@lotusmilagro.com. (Administrator note: publish the manual and set the link in the site configuration once approved.)

PAIA requests must be submitted in writing using the prescribed request form and will be handled within the periods set out in the Act.

13. Retention Schedule

Enquiries: 24 months from last contact. Quotation requests: 5 years (tender, tax and audit obligations). Supplier applications: 5 years, or while the supplier remains active. Career applications: 12 months from date of application, unless withdrawn earlier.

These periods are applied through administrative review. There is currently no automated deletion process, so records are reviewed and removed manually. You may ask us at any time to delete information we hold about you.
